June Meeting Secretary’s Minutes June 6, 2009 Ginger Armstrong (President) opened the meeting. Catreece Fritts (Secretary) read minutes from last year’s meeting. Phillip Berryhill motioned that we accept minutes as read. Ira Jenkins 2nd, motion accepted. Jason Winningham (Treasurer) talked about the financial report. There are some additional items that will affect the budget for next year…he recommends that we table the financial report before it is approved. Treasurer’s Report will be posted on line and voted on by a survey. We have $37,681.38 in checking account. Eric Mason moved that we table the financial report to a later date, Ira Jenkins 2nd, motion approved. Keith Guier (Contest Director) congratulated everyone on a great season. He talked about contest director’s report and about the number of units from our circuit that attended WGI. We had great attendance from such a young circuit. Keith read numbers from the Contest Director’s report (see attached report). Championships- we grew a little over 18%, over last year, in attendance. Atlanta regional & Nashville regional will be 2-day events next season. He discussed the proposed schedule and the opportunities for other shows to be scheduled on the regional weekends. He has show bid packets available…we have had trouble getting enough schools to bid on a show. Ginger suggested that potential hosts list all weekends that they may have open at their school to ensure that they might secure a date. Bid packets should be returned by September 2nd. Eric Mason asked if we had done a cost analysis on Sunday shows. Ginger said we would have to get that info from the individual show hosts before we could do a cost analysis. Keith mentioned that when he had a guard at Chapel Hill, the Sunday show was very successful. Phillip Berryhill suggested that the success of a Sunday show would depend on the amount of prep work that was done in advance to make it a success (donated concessions, etc.).  Don’t hesitate to vote on a Sunday only, Saturday only, Percussion only, etc. show. Phillip Berryhill motioned that we accept the Contest Director’s report, Simone Leonard 2nd, motion approved. Championships report will be posted online along with the Treasurers report. Cyndi Church – VP Color Guard report: Circuit school was a huge success this year.  New WGI proposals are posted on the WGI website. Cyndi urged people to get more involved in the circuit. We need more input from members, volunteers for committees, and we have so much talent that we can pull from. Tim Church- VP Percussion Report: Tim asked all directors, that represented percussion units, to raise their hands…..there was applause for so many in attendance. Tim said, “There’s my report!” Tim wants to get more judges and have more judge-training – it’s his “mission” to accomplish that. We need to educate directors more on the adjudication process as well. Ginger Armstrong- Report on Atlanta Regional: Whitewater did a great job hosting the show and WGI contacted them about doing it again. Whitewater staff are not sure if they will host again. Ginger asked that if anyone was interested in hosting the regional, to please let the Eboard know. SAPA provided the money up front, but Whitewater made all of the profit. The school made around $9000 profit.   PROPOSALS: Proposals were presented and voted on by membership. See attached results. The Eboard discussed the new Fee Structure for the 2009-2010 season: $450 1st year member $400 current member $250 additional member from same sponsoring organization $75 per performance entry $25 early bird discount  Specific costs will be posted on the website.   We are getting close to splitting classes into divisions at Championships. When we reach 20 units, we separate classes into divisions. There was a suggestion to hold championships after WGI Championships. Detrick Tilley offered to help acquire more WGI judges for our contests.  A request was made that we have show announcers that are “well trained” so that mistakes are not made during the announcements of shows (early start, etc.). Lizzie D. requested to have a code of conduct, circuit wide, for directors, parents, & performers. Unacceptable behavior from parents and students should have been reported and it would have been dealt with at that time. Also,  a request was made that we require that show hosts print certificates on card stock instead of basic printer paper. Keith Fletcher wanted to know if someone can do a contest walk-through to avoid confusion during actual shows. His idea is to be addressed by the Contest Handbook Committee. Donna Cutcliff suggested that we have a round table discussion before circuit school for potential show hosts to sit down with current successful show hosts. Michael had concerns about the guides assigned to taking you through show site….he suggested that we have an Eboard member visit show site to make sure they can advise host of best possible flow for show. Clay Duggan suggested that it would be easier if there was a standard time line for each show. Keith said that the only issue with that is what type of entry and exit plan each site has available. Also, some of the show packets posted on the website this season listed timeline differently than actual timeline. Ginger Armstrong said that we discussed having “seasoned show hosts” to mentor new or potential show hosts.  Lisa Stevenson made a suggestion that we inform units on performer and parent etiquette towards volunteers at show sites….directors, staff, & performers should realize that these people are here to help. Simone Leonard asked about new guard instructor “pairing program” with a more experienced group’s director. Did that program ever come about?
